Pre-Decision/Orientation

PRE-ARRIVAL

  • Area Orientation – accompany family on a community orientation, including emergency facilities, shopping, parks, churches, and any other family specific requirements.
  • Housing – coordinate and accompany to view sample properties meeting the necessary requirements.
  • School Visits – coordinate and accompany family/children to the schools that meet the family’s needs.

Destination Services (orientation, homefinding, school & settling-in)

PRE-ARRIVAL

  • Family needs assessment - collect information from assignee/spouse to ensure that we are addressing all the family’s needs.
  • Home search - select properties that best fit the family’s needs and expectations, established budget and security guidelines to maximize the time during the family’s property visits.
  • Schools - identify schools based on family’s needs, make all necessary appointments, review required documentation with family.

ARRIVAL IN NEW LOCATION

  • Home search - accompany family to view pre-selected homes, help with identifying and selecting a home, assist with lease negotiations and signatures, make arrangements for deposits, initial rent payments, etc.
  • School Visits - accompany family/children to the schools and assist during registration process, make arrangements for testing, physicals, etc.
  • Temporary Housing - coordinate temporary housing as needed and allowed by corporation.
  • Neighborhood familiarization - once a neighborhood has been identified, accompany family on a community orientation, including emergency facilities, shopping, parks, churches, etc.
  • Utility hook-ups - arrange for telephone, cable, internet, electricity, gas, water, etc.
  • Obtaining local documentation - assist in completing the necessary forms/documents and accompany the assignee/spouse to the appropriate offices.
  • Opening Bank Accounts/Bill Payment - accompany assignee/spouse to their choice of financial institutions to assist with opening of bank account (s).  Explain the bill payment process and options, online banking, payment by check, etc. as customary in each location.
  • Obtaining driver’s license - provide driving manual or studying materials as applicable, make the necessary appointments, review process and accompany assignee/spouse to the motor vehicle office.
  • Vehicle insurance - provide a list of insurance companies and guide through process as needed.
  • Health care system - review  the list of healthcare preferred providers based on company insurance plan; assist in locating offices close to property and talk though the normal health care system.
  • Spouse activities - research volunteer opportunities, international/expatriate organizations, university classes, etc. as requested by spouse.
  • Leisure activities including club memberships - research and provide information regarding country clubs membership, theater, community organizations, etc. as requested.
  • Discussion of security issues - general orientation of safety in the area, provide appropriate emergency numbers and go over typical do’s and don’ts.

School Search Assistance

  • Conduct a needs assessment to collect information from assignee/spouse in order to identify the best schooling options for the child(ren).
  • Share school information with assignee/spouse prior to their arrival in order to identify the options they would like to visit.
  • Coordinate and accompany family/children to the school visits.
  • Assist during registration process; make arrangements for testing, physicals etc.

Temporary Housing Coordination

  • Obtain company guidelines and budget.
  • Identify assignee/family’s needs.
  • Find and share options with assignee and client.
  • Coordinate lease signature.

Departure Services

  • Lease termination, review lease immediately to identify termination conditions, notice period etc.
  • Send notice letter to landlord (LL) to return property and coordinate return of security deposit.
  • Disconnect utilities (telephone, cable, internet, etc.) and obtain deposit refunds if applicable and coordinate final bill payments based on assignee’s vacate date/return date.
  • Complete pre move-out inspection minimum 2 weeks before assignee vacates to compare to the inspection when they moved in and determine any damages that need to be addressed.
  • Assist with preparing house for return to landlord.  Coordinate house cleaning and repairs as needed.
  • Once all repairs and normal wear & tear are addressed, coordinate walk through with LL to return property.
  • Assist with deregistration with local authorities as applicable.
  • Cancellation of club memberships if applicable.
  • Arrange hotel for temporary living until date of departure as necessary.
  • Ensure bank accounts are closed if applicable; some assignees prefer to leave the accounts open.

Property Management

The purpose of this service is to act on behalf of the assignee and provide support with their property in the home country while he/she is on assignment.  Services include:

  • Inspection of property prior to assignee’s departure.
  • Coordination of Broker Market Analysis/Opinions (to establish rental price and marketing plan) – this may have an additional cost in some countries.
  • Review and analyze brokers’ reports with assignee to establish marketing plan.
  • Assist assignee with choosing realtor(s).
  • Managing the realtor(s) for the rental of the property – in Latin America we need to list with several realtor in order to enhance the exposure.
  • Provide reports to the assignee and RMC based on requested frequency (monthly, quarterly, etc.).
  • Contract negotiation with tenant and walk through inspection report with pictures to document condition of property.
  • Collect rent payments and deposit in an account specified by the assignee or coordinate wire transfers as needed.
  • Represent landlord (assignee) on all tenancy matters related to the property.

Tenancy Management

The purpose of this service is to assist the assignee and transferring corporation with the maintenance and payments related to the property in the host location.  Services include:

  • Pay rent and applicable utilities (as covered by policy).
  • Provide list of repair contacts (electrician, plumber, handyman, etc.).
  • Assist with coordination/guidance or negotiation with Landlord for repairs as needed.
  • Schedule and coordinate maintenance, when applicable (fumigation, A/C units, etc.).
  • Review and approve provider bills and submit to client for payment, as authorized by policy.
  • Keep track of lease expiration and advise client with 60 days in advance or as required for renewal.

Immigration Services

  • Identify visa requirement(s).
  • Guide client and assignee/spouse through process.
  • Obtain legalized/apostilled and translated documents, as needed.
  • Apply for visa(s).
  • Provide ongoing updates to client and assignee/spouse on process status.
  • Guide assignee/spouse through visa delivery once approved.
  • Track visa expiration to advise client for renewal purposes (notify client 90 days prior to expiration).

Document Legalizations

  • Identify needed documents per visa process in host location.
  • Guide client and assignee/spouse through process.
  • Obtain original documents from assignee.
  • Legalized/apostilled and translated original documents in appropriate Consulate.
  • If assignee is unable to obtain original documents we assist in identifying the best way to locate the documents in the country where the document was expedited.

Move Management

  • Identify household goods (HHG) shipment requirements.
  • Obtain quote(s).
  • Provide quote to client for approval.
  • Coordinate HHG for departure/documents.
  • Track HHG move from door to door.
  • Keep client and assignee/spouse updated on the progress of the move.
  • Coordinate HHG for delivery/documents.
